Applies to: Mad Hatter Concierge LLC and its DBAs Santa Stocking, Mad Hatter Pet Care, and Lodgepole Ministries (collectively, “Mad Hatter Concierge,” “we,” “us,” or “our”).

1) Who We Are and Scope

This Privacy Policy explains how Mad Hatter Concierge LLC and its DBAs—Santa Stocking, Mad Hatter Pet Care, and Lodgepole Ministries—collect, use, disclose, and safeguard information when you visit our websites, make bookings, contact us, or otherwise interact with us.

Data Controller: Mad Hatter Concierge LLC (“MHC”) maintains all customer records.
Brand Separation: Information collected for one DBA (e.g., Santa Stocking) is not used for marketing for another DBA (e.g., Mad Hatter Pet Care or Lodgepole Ministries), and vice versa. Cross-marketing between DBAs does not occur.

2) Information We Collect

We collect information that you voluntarily provide or that is generated through your use of our sites and services. This may include:

Contact & Booking Data: name, email, phone, address, service selections, appointment dates/times, special instructions.
Optional Demographics: date of birth (DOB is optional) and any other info you choose to provide.
Payment & Transaction Data: payment method, amounts, and transaction confirmations (processed by third-party payment processors; we do not store full card numbers).
Technical Data: IP address, device/browser type, pages visited, and cookies/analytics data (see “Cookies & Analytics” below).
Communications: messages, emails, forms, or chat submissions.

Children’s Information & DOB

We do not require DOB to make a booking.
We do not knowingly collect personal information from children under 13. If you believe a child has provided personal information to us without verified parental consent, contact us (see Section 12) and we will delete it.
Because DOB is optional and sometimes provided, we may not know if a submission pertains to a child. We treat all such information with heightened care and will remove it upon verified request by a parent or guardian.

Brand/DBA Separation (No Cross-Marketing)

Santa Stocking: Information collected for Santa Stocking is used only for Santa Stocking services and communications—not for marketing Mad Hatter Pet Care or Lodgepole Ministries.
Mad Hatter Pet Care: Information collected for Pet Care is used only for Pet Care services and communications—not for marketing Santa Stocking or Lodgepole Ministries.
Lodgepole Ministries: Information collected for Lodgepole Ministries is used only for ministry-related communications—not for marketing Santa Stocking or Mad Hatter Pet Care.
Central Records: MHC maintains customer records centrally for legitimate administrative purposes (e.g., accounting, security, compliance), but marketing segmentation is siloed by brand.

4) Legal Bases (where applicable)

Contract: to provide the services you request.
Legitimate Interests: to improve services, secure our systems, and prevent fraud.
Consent: where required (e.g., certain marketing communications).
Legal Obligation: to meet applicable legal, tax, and accounting requirements.
